Terms of Service
How the workshop actually engages: what we do, how an enquiry becomes a build, and what each side is responsible for.

These Terms of Service describe how BBOG — Bespoke Board & Oak Guild, a workshop operated by Sport Casual Limited, engages with clients. They apply alongside our Terms and Conditions, which govern the website itself.
They are written so that both sides know what to expect before anything is cut. Where a signed specification for a particular commission says something different, that specification prevails over this page for that commission.
1. Scope of the services
The workshop offers four services, and only these four:
- Custom table commissions. Poker and card tables designed and built to a client's room and requirements, in a chosen hardwood, with a specified footprint, seat count, rail profile, tray layout and finish.
- Chip set design. Chip faces and edge patterns drawn around a client's monogram, club mark or crest, proofed as a sample set, and cased in matching hardwood.
- Restoration of vintage tables. Assessment, structural repair, re-veneering, re-railing and re-felting of existing tables, retaining original fabric and hardware wherever it can still be trusted.
- Game-room fit-out consulting. Advice on the room itself: table placement, clearances, seating, lighting height and glare, flooring, acoustics and storage.
All work is bespoke and made to order. We hold no stock catalogue and we do not sell finished goods from this Site. Our work is furniture and game accessories for private, social use. We do not supply equipment for licensed gaming operations and we do not take commissions framed around real-money gaming.
2. How an inquiry becomes a project
An enquiry becomes a commission in clear, sequential steps. Nothing binds either side until step 5.
- Enquiry. You write to us by email, or use a form on the Site and then send the email it prepares. Tell us the room, the seat count, roughly when you would like the piece and any species you have in mind.
- First response. We reply, normally within two working days, either with questions or with an honest statement that the shop is not the right fit for what you want.
- Consultation. We work through the room, the use and the material, as described in section 3.
- Draft specification. We prepare a written specification and a dimensioned shop drawing covering footprint, rail profile, tray layout, species, finish and delivery arrangements.
- Sign-off. When you confirm the specification and the shop drawing in writing by email, and we confirm acceptance in return, the commission is agreed and enters the build schedule. That exchange — not this page and not the Site — is the agreement between us.
We may decline an enquiry at any point before sign-off, and we will say why. Common reasons are a room that will not take the piece safely, a timescale the shop cannot honour, or a specification that would not survive the use intended for it.
3. Consultation and specification
The consultation is where most of the value of a bespoke build is created, and it is deliberately thorough.
What we work through
- the room: dimensions, walkway clearances, doorways, stair turns, ceiling height and floor construction;
- the use: how many players, how often, how long a session runs, whether the table doubles as dining or work furniture;
- the geometry: oval, octagon, round or bespoke footprint, seat spacing, rail height against your chairs, dealer position;
- the material: two or three candidate species, then the actual boards, photographed on the rack;
- the detail: cloth type, rail padding, tray and well layout, engraving, inlay, covers;
- logistics: delivery access, assembly space and the day the room needs to be ready.
What the specification contains
The written specification records everything agreed, and the shop drawing records it dimensionally. It supersedes any earlier conversation, sketch or message. Once you have signed it off, it governs the build: the workshop builds what the drawing shows, and nothing else is assumed.
Progress photographs are sent at each milestone — frame, veneer, rail, cloth, finish — so that the build is never a black box. Any question you raise at a milestone is answered before the next stage begins.
4. Client responsibilities
A bespoke build depends on information only you can give us. You are responsible for:
- Accurate measurements. The room, the doorways, the narrowest point of the route in, stair turns, lift dimensions and ceiling height where a piece must be tipped. We build to the numbers you confirm.
- Floor suitability. Telling us about suspended floors, underfloor heating, listed fabric or any restriction on the weight a floor may carry, and obtaining professional advice where the weight of a finished piece requires it. We supply the finished weight on request.
- Delivery access. Ensuring the route is clear on the delivery day, that any lift or loading arrangement is booked, that parking is available, and that permission has been obtained where a building management company requires it.
- Timely decisions. Approving stock selections and shop drawings within the agreed window. A build pauses while an approval is outstanding, and the schedule moves accordingly.
- Accurate artwork. Supplying monograms, crests or club marks in a usable form, and confirming that you have the right to have them reproduced.
- Room conditions. Providing a reasonably stable indoor environment. Solid timber should not be installed in an unheated, damp or newly plastered room, or against a heat source.
Where a piece cannot be delivered or installed because of an access issue, a floor issue or a measurement that turns out to be inaccurate, the workshop will do what it reasonably can to resolve it, but the consequences of information supplied to us being wrong rest with the client.
5. Material availability and natural variation
Rare hardwood is not a commodity, and this shapes how we work.
Availability
Species availability changes constantly. A board we can show you this month may not be replaceable next month in the same figure or width. Where a specification depends on a particular board, we reserve that board once the specification is signed off. If a reserved board proves to have hidden defects when it is opened up — internal checking, an unstable core, concealed insect damage — we will tell you at once, show you the alternatives we hold, and agree a substitution with you in writing before proceeding.
Some species are subject to international trade controls. We work only with stock that is lawfully sourced and properly documented, and we will decline a species where we cannot satisfy ourselves on that point, even if a client asks for it specifically.
Natural variation
Colour, grain, figure, density, mineral streaking, pin knots and sapwood transition vary within any species, within any board and between the boards of a single tree. Many species continue to change colour for years: cherry darkens markedly, walnut mellows, olive ash shifts under daylight.
Such variation is an inherent characteristic of solid timber, not a defect, and it is not a basis for rejection of a commission. Where matching matters, we agree it on the actual boards during selection and photograph them, and the approved photographs form part of the specification.
Hand-made work carries ordinary workshop tolerances. Dimensions on the approved drawing are the governing dimensions, and small variations within normal tolerance are expected in hand-cut joinery.
6. Changes and cancellation of a commission
Changes requested by the client
Changes are welcome up to the point at which they become physically impossible. In practice:
- Before cutting begins — most things can still change: geometry, species, rail profile, tray layout, finish.
- After cutting has begun — the footprint and the species are fixed. Detail such as engraving, cloth choice and covers can usually still be revised.
- After the frame is assembled — only surface decisions remain open: cloth, finish depth, accessories.
- After finishing has begun — the commission is what the drawing shows.
Every change is recorded in writing as a revision to the specification, with its effect on the schedule stated at the same time. A change that requires new stock will normally move the delivery window.
Cancellation
Because every item is personalised to a client's own specification, a commission is not a stock purchase and cannot simply be returned. If you need to cancel, tell us immediately in writing; what is possible depends on how far the build has gone, on the same stages as above, and will be agreed between us in writing at that time.
We may cancel a commission if information we relied on proves materially inaccurate, if the room turns out to be unsuitable for the piece, if a client asks us to do something unsafe or unlawful, or if communication ceases for more than 60 days despite repeated attempts to reach the client.
7. Care requirements and warranty conditions
Care requirements
Every commission leaves with a written care sheet, and the warranty assumes it is followed. In summary:
- brush the cloth in one direction with a soft brush; never use a vacuum head or a wet cloth on it;
- wipe hardwood with a barely damp cloth and dry it immediately;
- keep the piece out of direct sunlight and away from a heat register or open fire;
- keep the room within ordinary indoor humidity — solid timber will move in extremes;
- re-oil the rail annually with the finish supplied in the care kit;
- lift a table to move it; never drag it, and never move it fully assembled through a tight turn;
- use the cover supplied when the table is not in use, particularly in a bright room.
Warranty
- Structure. Frame, joinery and pedestal are warranted against failure in normal indoor domestic or private club use for the lifetime of the original client.
- Wear items. Cloth, foam, hardware and finish are consumables. They are not covered by the structural warranty; they are handled through the re-felt and aftercare programme instead.
- Restoration. Warranted on the work we performed, not on the original fabric of a piece we did not build.
- Re-felt programme. Any BBOG table may return to the bench for a fresh playing surface for as long as the workshop is open.
The warranty does not apply where damage results from:
- failure to follow the care sheet;
- alteration, repair or re-felting carried out by anyone other than the workshop or a person we authorise;
- accident, impact, liquid damage, burns, pets or misuse;
- extremes of humidity or temperature, flood, or exposure to weather;
- relocation carried out without disassembly where the piece was designed to be disassembled;
- ordinary wear, patina and the natural colour change described in section 5.
To make a warranty claim, write to [email protected] with photographs and a description of what has happened. We assess claims on the piece itself, and we will tell you plainly whether something is a warranty matter or a wear matter.
8. Service exclusions
To be clear about what the workshop does not do:
- we do not sell finished goods from stock, and we operate no online shop;
- we do not supply equipment to licensed gaming, betting or casino operations;
- we do not build, repair or service electronic or automated gaming machines of any kind;
- we do not carry out structural work to a building, electrical installation or flooring work;
- we do not restore pieces whose original fabric is too far gone to be worked safely — we will say so after assessment rather than take on work that cannot succeed;
- we do not reproduce a third party's protected design, mark or logo without evidence of the right to do so;
- we do not offer valuations, authentication or appraisal of antique furniture;
- we do not provide professional advice of the kinds described in our Legal Information page.
9. Force majeure
Neither party is liable for failure or delay in performing an obligation where that failure or delay results from an event beyond its reasonable control. Such events include, without limitation: fire, flood, earthquake, severe weather; epidemic or pandemic and any public health measure taken in response; war, civil unrest, terrorism; strike or industrial action; failure of utilities, transport or communications networks; interruption of supply of raw material where no equivalent substitute is available; embargo or change of law affecting the lawful supply of a species; and failure of a carrier or delivery contractor.
The affected party will notify the other as soon as reasonably practicable, describe the effect on the schedule, and take reasonable steps to mitigate it. Where such an event continues for more than 120 days, either party may end the commission by written notice, and the parties will settle matters in respect of work completed and material committed up to that point in good faith.
10. Communication channels
The workshop communicates by email, and only by email. There is no telephone line and no number is published on this Site.
This is deliberate. It means that:
- every measurement, species choice and revision exists in writing, with a date on it;
- nothing important depends on somebody's recollection of a conversation;
- the person answering is the person at the bench, replying between stages rather than mid-cut;
- you have a complete record of your own commission, which matters years later at re-felt time.

We answer new enquiries within two working days and correspondence on a live commission within one. If you have not heard from us, check your spam folder before assuming the message did not arrive; a reply from the workshop always comes from the bringbackourgirls.org domain.
